Important Information for Tenants

Please read carefully and seek advice should you be unsure about any aspect of these guidance notes

The asking rent does not include letting fees. Depending on your circumstances the following upfront fees may apply:

Referencing, Administration and Lease Preparation.

KM Maxfield uses the services of an external credit referencing agency.  The lead adult applicant will be required to complete an application form and submit this to us with the application fee.

Per Applicant:             £65 (inclusive of VAT)*

(This fee covers the cost of the credit and reference checks, reserves the property (subject to contract) until a move in date is mutually agreed.)

Guarantor:                  £65 (inclusive of VAT)*

Preparation and setting up of the Tenancy Agreement

Per Property:              £100 (inclusive of VAT)*

  • Should the reference prove unsatisfactory or the applicant withdraws the offer for any reason, then the payments will not be refunded and will be offset against all costs incurred.

Once a successful reference has been obtained the lease and subsequent documentation will be prepared and distributed.  The property will also, at this point, be reserved for you and no further advertising or viewings will take place. If a To Let board is in place at the property a Let By slip will now also be added giving you additional peace of mind that the property is yours to rent.


Where a guarantor is required to support an application for tenancy, he/she will also require referencing.  He/she will be required to sign a legally binding agreement and this will be applicable to the full term of the tenancy for which they are contractually bound to pay the rent.

Dilapidation Deposit

You will be required to pay a dilapidation deposit prior to the start of the tenancy which is £100 more then one months rent unless otherwise specified by the Landlord.

What will you pay at move in?

  • 1 months rent in advance
  • Dilapidation deposit

The above must be paid by Bankers Draft or Building Society Cheque.  Personal cheques require 5 working days clearance.


We will require one standing order set up for the ongoing payments of monthly rent.  This is to be completed and signed at the check-in.  In the case of one or more sharers you must nominate one individual for this purpose.  We will not accept part payment by cheque or standing order.  Please be aware that whatever private arrangements are made each tenant is responsible for ensuring payment of the rent in full.  Under no circumstances will rent be accepted from an individual not named in the tenancy agreement.

Housing Benefit Applicants

The landlord has the ultimate decision on whether or not they are willing to accept a housing benefit applicant or not. Each applicant will be assessed individually based on their current and future circumstances.


The rents quoted are exclusive of all utilities unless otherwise stated.  It is the tenant’s responsibility to contact the utility companies to advise them of a change of occupancy.

Council Tax

It is the tenant’s responsibility to pay Council Tax direct to the Local Authority.

Television Licence

The tenants are responsible for the TV licence at the property whether the landlord has provided a TV set or not.


The tenants are responsible for insuring their personal possessions within the property.

Tenancy Agreement

All persons wishing to live at the property will be named on the tenancy agreement.  Unless a release clause in your favour is written into the agreement you are committed to stay and pay the full rent for the entire term stipulated.


A Maximum of four sharers will be considered.  Please see section headed RENTregarding ongoing payments.  The tenancy agreement will provide for all persons under the tenancy agreement to be jointly and severally liable for the covenants contained therein.  If there is a clause contained within the agreement in your favour please note that under Common Law if one person gives notice they give it for all.

Future Referencing

For any future referencing the tenant requires from us, KM Maxfield Ltd, there will be an administration fee of £25 + VAT. References will be provided to the relevant persons immediately after payment is received.
